How CloseCore works

CloseCore brings the separate parts of your close—trial balances, transaction detail reports, workpapers, tasks, and reviews—together in one system, organized around a recurring monthly folder structure.

It connects to two systems your team already uses:

  1. your ERP: where your general ledger and balances live (NetSuite, Sage Intacct, Acumatica, Dynamics 365 Finance, Business Central, QuickBooks, and others, or a trial balance you upload manually), and
  2. your cloud file storage: where your workpapers live (Google Drive, SharePoint/OneDrive, Box, or Dropbox).

Your accounting data stays in your ERP, and your workpapers stay in your cloud storage. CloseCore connects them to the tasks your team needs to complete each month.

The model

Folders organize the close

Each legal entity is a subsidiary, and its close work happens in monthly periods within a workflow. That workflow has a root folder in your cloud storage. Under it, CloseCore maintains year folders, month folders, and recurring folders for areas of your close, such as Cash or Accounts Receivable.

A recurring folder brings together the work for that area: its workpapers are stored in the folder, and its checklist items and reconciliations are linked to it in CloseCore. For example:

The linked tasks above are records in CloseCore, not files or subfolders in your cloud storage. On the Folders page, you see a folder's tasks and workpapers together for the selected period.

Templates keep the structure recurring

You don't rebuild this setup every month:

  • Folder templates define the recurring folder hierarchy. The April and May 01 Cash folders above are separate monthly folders created from the same template.
  • Task templates define the recurring checklist items and reconciliations associated with each folder template. Each month gets its own tasks to complete and sign off on, linked to that month's folder.
  • Workpapers belong in the appropriate monthly folder. Folders and tasks roll forward automatically, but documents do not: add the new month's files or choose which existing documents to roll forward.

Administrators manage the recurring structure through CloseCore. Adding, renaming, or deleting a recurring folder updates the structure from the selected month onward. See Folder structure & recurring folders.

Connected data supports the work

CloseCore reads balances from your ERP and from your tagged workpapers so it can automatically tie out reconciliations. Your team completes checklist items, reviews reconciliations, and tracks questions with review notes, all connected to the same period's work. Flux analysis and reporting help you review the results across the close.

What you need before you start

Your CloseCore administrator (with help from the CloseCore team during onboarding) will have already:

  • connected your ERP and cloud file storage,
  • set up your subsidiaries and their folder structure, and
  • invited you and assigned your role.

If you can log in and see your folders and tasks, you're ready to go. If not, contact your CloseCore administrator or support@closecore.com.
