Working in Folders
The Folders page is where you view everything associated with a single folder, including its checklist items, reconciliations, and documents for the selected period.
Browsing folders
Open the Folders page from the navigation menu, then use
the Browse menu on the left to pick a folder (for example, 01 Cash and Cash Equivalents). The page then shows that folder's tasks and documents for the selected
period.
Your folders follow a consistent monthly structure (Root → Year → Month → Recurring Folder). CloseCore creates and maintains this structure for you. See Folder structure & recurring folders.
Tasks and documents on the page
For the selected folder, you'll see:
- Checklist items: the to-dos for this folder. Add one with New Task, or edit one with ⚙️ Edit Task. See Checklist items.
- Reconciliations: the account tie-outs for this folder. Add one with New Account, or edit one with ⚙️ Edit Task. See Reconciliations.
- Documents: the workpapers synced from this folder in your cloud storage. Use the Refresh button to sync the folder immediately, and Roll Forward to copy documents into the next period. See Documents.
CloseCore can detect document changes only after they have synced to your cloud storage. If you work in a folder synced to your computer, wait for its cloud-sync client to finish before refreshing in CloseCore. When editing an Excel workbook online, close the workbook after your changes: Microsoft may show it as autosaved before the updated version is available to CloseCore.
Each task shows its Assignee, a Sign-Off toggle, and a Due date. See Signing off on tasks.
Locking folders
After all the tasks in a folder are complete and the period is closed in your ERP, we recommend locking the folder in CloseCore to prevent further changes to that period's tasks.
To lock a folder, navigate to it and click Lock Folder in the banner at the top. You can unlock it later if you need to make changes.
Managing the folder itself
The small menu (...) at the top right of a folder lets administrators rename, delete, or add recurring folders, and sync recurring folders from cloud storage. Because these operations affect the current and all future months, they're covered separately in Folder structure & recurring folders.
