Tagging accounts & journal entries

To tie out reconciliations, CloseCore reads balances from both your ERP and your workpapers. You tell CloseCore which cell holds a balance by tagging it in your Excel or Google Sheets workpaper.

Tagging an account balance

Place the text #cc-[account number] in the cell to the right of the balance you want CloseCore to read. We call this tag the anchor.

Rules for the anchor:

  • It must be to the right of a numerical cell (the balance you want to sync).
  • It can be in any cell on any sheet of the workpaper.
  • Cell styling (bold, italic, color, etc.) does not matter.
  • The workpaper must be in the same folder as the CloseCore reconciliation.

After you add or update a tag, use the Refresh button in the Documents table to sync right away, or wait for the next scheduled sync.

Multiple subsidiaries sharing one folder structure

If several subsidiaries share the same folder structure, the tag also carries the subsidiary number so CloseCore knows which subsidiary the balance belongs to:

#cc-[account number][delimiter][subsidiary number]

The subsidiary numbers appear in the Subsidiary Selector.

You don't need to build this tag by hand. When multiple active subsidiaries share the same workflow instance, a hash (#) icon appears next to the account name in the reconciliation. Hover over it to see the exact tag to use for that account and subsidiary. Click the icon to copy the tag, then paste it into your workpaper.

The separator between the account number and the subsidiary number is usually a hyphen (-), but it is not always -. Some ERPs (such as Sage Intacct) use account numbers that already contain hyphens, so those workflows use a different delimiter, for example a colon (#cc-1040:1). This is why you should rely on the tag shown next to the account rather than assuming a hyphen. For example, if Larry's Bakery is subsidiary 1, the anchor for account 1040 might be #cc-1040-1 or #cc-1040:1 depending on the workflow's delimiter. The hash icon tells you which.

Fixed balances instead of tagging

For accounts without a spreadsheet, such as clearing accounts, you can set a fixed balance in CloseCore instead of tagging a cell, and optionally have CloseCore auto-sign-off. See Reconciliations. If a reconciliation has both an anchor and a fixed balance, the anchor wins.

Tagging journal entries

You can also tag a journal entry so its workpaper is linked to the JE. Use:

#cc-JE[number] e.g. #cc-JE842

Unlike a balance anchor, a JE tag can be placed anywhere on the sheet, so it doesn't need to be to the right of a numerical cell.

Once tagged, the journal entry:

  • shows up in the Documents page and Documents table on the Folders page, and
  • appears on any checklist item you link the document to.

Clicking the JE in CloseCore takes you directly to that journal entry in your ERP.

Sage Intacct journal entries

For Sage Intacct, use the journal symbol and entry number:

#cc-JE[JOURNAL]:[ENTRY#] e.g. #cc-JEAPJ:157

The journal symbol is case-sensitive (APJ), but the #cc-je prefix is not, so you can write #cc-jeAPJ:157 for clarity.

Using the Add-in for Excel

If you use the Add-in for Excel, it can show reconciliation context right next to your #cc- tags and help you look up transaction detail and journal entries without leaving Excel.
